A Brief Overview
Provides strategic leadership in partnership with the Director of Specialty Operations and Ambulatory Leadership to optimize patient flow and maximize resource utilization in outpatient and ambulatory settings. Leads and develops teams by fostering technical expertise, data-driven decision-making, and strong interpersonal collaboration. Serves as a key liaison to Practice Administrators and Clinical Managers to support the execution of monitoring, analyzing, and optimizing patient capacity and access within the outpatient clinic or ambulatory setting. Promotes staff growth by acting as a leader, mentor, and coach, and collaborates with internal and external partners to maintain alignment with industry standards. Success in this role requires exceptional organizational skills, clear communication, attention to detail, and the ability to meet deadlinessupported by a high level of professionalism, strong change-management capabilities, and effective stakeholder engagement.

Essential Functions

  • Partner with key stakeholders to monitor, analyze, and translate capacity management and access analytics into clear, stakeholder-specific summaries.

    Work closely with ambulatory leaders to identify, prioritize, and execute capacity management projects that support strategic initiatives and advance access-to-care standards, policies, and procedures.

    Lead capacity management project planning activities, including developing and maintaining schedules, charters, work breakdown structures, status reports, and comprehensive project plans.

    Provide expertise on clinical information systems to ensure plans align with required technical capabilities and support desired outcomes.

    Anticipate potential project barriers, proactively communicate risks, and recommend mitigation strategies.

    Influence cross-functional teams and guide stakeholders toward shared goals and a cohesive project vision.

    Integrate change-management strategies into project plans to support successful adoption and sustainment.

    Identify and manage anticipated resistance, and contribute to organization-wide change-management development, implementation, and reinforcement.

    Support the creation and refinement of capacity management policies and procedures in partnership with the Specialty Operations Director and ambulatory leadership.

    Lead teams to achieve defined objectives, outcomes, timelines, and performance standards.

    Collaborate with Centralized Scheduling leadership to identify efficiency opportunities, training needs, and workflow improvements within project plans.

    Partner with IT teams on required system enhancements and ensure efficient, accurate, and timely execution of technical components of project plans.

    Escalate project issues and concerns to appropriate leadership for timely resolution.

    Facilitate project-related meetings and ensure productive communication and follow-through.

    Partner with analytics stakeholders to design data metrics aligned with best practices.

    Oversee metric validation, implementation, and rollout to ensure accuracy and usability.

  • Own the strategic oversight of capacity management and access analytics, ensuring clear, actionable insights are delivered to Director of Specialty Operations, ambulatory leaders, and frontline teams to drive organizational decision-making.

    Set performance expectations for key capacity and access KPIs, routinely evaluating metric trends and holding teams accountable for meeting established targets.

    Proactively identify enterprise-level opportunities for operational improvement, making informed decisions based on data trends and leading the prioritization, resourcing, and execution of improvement initiatives.

    Ensure governance and adherence to enterprise access standards, overseeing the review and resolution of exceptions and change requests to maintain alignment and reduce operational variability.

    Provide leadership direction for the development and optimization of centralized provider schedules and appointment templates, ensuring consistency, efficiency, and alignment with organizational goals.

    Establish and champion best-practice scheduling workflows, guiding teams and stakeholders toward standardized, optimized, and scalable processes.

    Drive cross-functional collaboration with Access Centers, Ambulatory teams, and Digital & Technology Partners to ensure smooth implementation, adoption, and sustainment of new applications, modules, and capabilities.

    Ensure readiness and capability of end-users by overseeing training strategies, change management, and support mechanisms for Epic applicationsparticularly Epic Cadenceand other tools influencing capacity and scheduling.

    Leverage multi-source data insights to guide organizational decisions, improving coordinated, efficient scheduling practices and optimizing patient access across the continuum.

    Lead continuous process and system improvement, ensuring structures are in place for routine evaluation, innovation, and long-term scalability to enhance patient access and operational performance.

    Stay informed on regulatory changes, emerging technologies, and evolving best practices, translating these insights into strategic direction and organizational readiness.

  • Leadership & People Management:

    Provides clear direction, guidance, and support to team members while fostering a positive, high-performance culture.

    Recruits, hires, trains, and develops staff to ensure strong individual and team performance.

    Executes all aspects of performance management, including setting goals, delivering evaluations, coaching, and addressing performance gapsup to and including corrective action or termination when necessary.

    Delegates effectively by empowering employees with the authority, resources, and information needed to make decisions and complete tasks independently.

    Operational & Financial Oversight

    Reviews and evaluates operational processes to recommend improvements, update guidelines, and support efficient workflows.

    Uses business and management expertise to identify opportunities, solve problems, implement solutions, and track outcomes for continuous improvement.

    Ensures compliance with organizational policies, regulatory standards, and procedure guidelines to support operational efficiency and maintain optimized access to patient care.

  • Regular attendance at work is an essential function of the job.

Education Qualifications

  • Associate's Degree from an accredited school in healthcare management, or equivalent work experience Required

Experience Qualifications

  • Minimum 3-5 years' experience in analytics, reporting, Information Systems, and/or Capacity Management in a healthcare setting Required and
  • Minimum 3-5 years' experience in a leadership role Preferred and
  • Experience with practice operations and clinician templates/schedules preferred Preferred

Skills and Abilities

  • Excellent oral and written communication skills (High proficiency)
  • Excellent proficiency in Microsoft Word, Excel, Power Point, and Outlook (High proficiency)
  • Excellent critical thinking skills and proactive thought processes. (High proficiency)
  • High level of attention to detail and follow-up. (High proficiency)
  • Ability to manage multiple concurrent tasks (High proficiency)
  • Expertise in EPIC scheduling, and tools required. (High proficiency)
  • Excellent organizational skills and multi-tasking abilities, strong prioritization abilities (High proficiency)

Licenses and Certifications

  • Epic Cadence Certification within 1 Year Required
