Programmatic Administrative Assistant & Shelter Guest Services

 

Stephen Center has served homeless and low-income individuals in Omaha since 1984 with the mission to partner with the community, families and individuals to overcome homelessness, addiction and poverty.  The Pettigrew Emergency Shelter and Permanent Supportive Housing offerings provide safe and secure housing while individuals and families complete an assessment of permanent housing options. All Stephen Center residents have access to dual diagnosis support services via the HERO addiction/recovery program. 100% of Stephen Center shelter supportive housing participants are living in poverty.  Housing transition support identifies poverty barriers that may impact one’s ability to achieve or maintain permanent housing through case management, life skills, and behavioral health services. Stephen Center serves approximately 250 people daily in all programs.

 

Purpose:

The Programmatic Administrative Assistant & Shelter Guest Services role plays a part in ensuring the seamless operation of Stephen Center’s programs. This hybrid position blends programmatic administrative support focused heavily on our Occupational Therapy partnership and extending across HERO, PSH, and Shelter while also providing direct service responsibilities in our Shelter.

This unique role ensures that both our behind-the-scenes systems and our client-facing services operate with efficiency, compassion, and alignment to Stephen Center’s mission.

Key Responsibilities

Programmatic & Administrative Support

  • Provide administrative support for Stephen Center’s partner programs and internal programs (including HERO, Shelter and PSH) with a special focus on Occupational Therapy initiatives.
  • Prepare and organize program materials, intake documents, assessments, and resource guides.
  • Coordinate and document program data, ensuring accurate collection, maintenance, and confidentiality.
  • Support meeting preparation and follow-up: scheduling, note-taking, and tracking action items.
  • Collaborate with program managers to streamline cross-departmental communications.
  • Assist with special projects (data dashboards, grant-supported initiatives, staff training prep, etc.).
  • Provide light support to development and billing teams as needed (events, logistics, database entry).
  • Schedule subject to change based on community engagement requirements, with a minimum of two weeks’ notification to allow for occasional support of weekend or evening engagements.

Shelter Guest Services

  • Serve as the first point of contact for shelter clients, answering questions, addressing needs, and ensuring a safe, respectful environment.
  • Enforce safety, security, and shelter guidelines with professionalism and consistency.
  • Monitor client behavior, address violations appropriately, and document incidents as required.
  • Assist clients in accessing resources, including medical appointments, referrals, job leads, and transportation.
  • Track client intake, exit, and service data; update medication logs and maintain accurate client records.
  • Conduct evening rollcall, inspect dorms, and ensure client spaces remain orderly.
  • Respond appropriately to emergencies, including contacting external personnel when needed.

Key Accountabilities

  • Consistency & Confidentiality: Handle sensitive client and program information with discretion and integrity.
  • Cross-Program Collaboration: Maintain proactive communication and coordination across OT, HERO, PSH, and Shelter.
  • Client Care: Ensure a trauma-informed, dignity-centered approach in all interactions with clients.
  • Crisis Response: Address emergencies swiftly, following program policies and procedures.
  • Operational Reliability: Maintain logs, data, and reports that ensure compliance with organizational and CARF standards.

Position Requirements

  • High School diploma or GED required; additional administrative or human services training preferred.
  • Demonstrated experience in administrative support or client services (preferably in behavioral health, housing, or social services).
  • Exceptional organizational and communication skills, written and verbal.
  • Strong technical proficiency (Microsoft Office Suite, Zoom, databases; Bloomerang knowledge a plus).
  • Ability to manage multiple priorities with professionalism, independence, and follow-through.
  • Commitment to trauma-informed care, dignity, and recovery-focused practices.
  • Physical ability to sit, stand, kneel, walk, lift up to 20 lbs., and complete light physical activity.
  • Conduct self with honesty, integrity, and professionalism at all times, recognizing their role as a potential model for clients in recovery.

Work Environment

  • Typical office and shelter settings with moderate noise levels.
  • No regular outdoor exposure.

  •            Ability to sit, stand, walk, kneel, push/pull, and lift up to 20 pounds on a periodic basis.
